1. Introduction

This Privacy Policy describes how Knights Experimental Rocketry, Inc. ("KXR," "we," "us," or "our") handles information in connection with the KXR Budget Bot (the "Bot"), an internal tool that allows authorized KXR members to view KXR's own budget and expenditure information through KXR's Discord server.

The Bot is an internal organizational tool. It is intended solely for use by authorized members of KXR and accesses only KXR's own financial data. It is not a public service and does not process the data of any individual or organization other than KXR.

By using the Bot, you agree to the practices described in this Privacy Policy.

2. Information We Access and Collect

a. QuickBooks Data (via Intuit API). The Bot connects to KXR's own QuickBooks Online account through Intuit's API on a read-only basis. It accesses KXR's financial information—specifically budget and expenditure figures organized by project—for the sole purpose of displaying that information to authorized KXR members. The Bot does not create, modify, or delete any data in QuickBooks. The Bot does not access the QuickBooks data of any company other than KXR's.

b. Discord Information. When a member uses the Bot, we process the Discord user identifier and username of the requesting member and the content of the command they submit (for example, !budget [project]). This is used only to respond to the request within KXR's Discord server.

We do not collect information from any individuals outside of KXR, and we do not access any data beyond what is described above.

3. How We Use Information

We use the information solely to:

Retrieve KXR's budget and expenditure data from KXR's QuickBooks account; and
Display that information to authorized KXR members in response to their commands within KXR's Discord server.

We do not use the information for any other purpose.

4. How We Share Information

We do not sell, rent, trade, or share information accessed through the Bot with any third parties. The only display of information is the presentation of KXR's own budget data back to authorized KXR members within KXR's Discord server. Data accessed through the Intuit API is used only as described in this Policy and is not transferred to any outside party.

5. Data Storage and Security

Authentication credentials (including OAuth access and refresh tokens used to connect to QuickBooks) are stored in a secure, access-restricted environment controlled by KXR, and are handled in accordance with Intuit's OAuth 2.0 requirements, including secure token refresh. We take reasonable measures to protect against unauthorized access to this information. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.

6. Data Retention and Deletion

The Bot displays budget data in real time and does not maintain a separate long-term store of KXR's financial records beyond what is necessary to operate. Authentication tokens are retained only as long as the Bot is authorized to connect to KXR's QuickBooks account. KXR may revoke the Bot's access to QuickBooks at any time by disconnecting the application within QuickBooks, which terminates its access to that data. Requests regarding data deletion may be directed to the contact below.

7. Intuit API Compliance

The Bot's access to and use of data obtained through the Intuit/QuickBooks API is limited to the purposes described in this Privacy Policy and is subject to Intuit's applicable terms and requirements. We access only the data necessary to provide the Bot's functionality and use it only as described herein.

8. Children's Privacy

The Bot is an internal tool for KXR members and is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Any changes will be posted at this URL with an updated "Last Updated" date. Continued use of the Bot after changes are posted constitutes acceptance of the revised Policy.

1. Acceptance of Terms

This End User License Agreement ("Agreement") governs your use of the KXR Budget Bot (the "Bot"), provided by Knights Experimental Rocketry, Inc. ("KXR"). By accessing or using the Bot, you agree to be bound by this Agreement. If you do not agree, do not use the Bot.

2. License

Subject to this Agreement, KXR grants authorized KXR members a limited, non-exclusive, non-transferable, revocable license to use the Bot for its intended purpose: viewing KXR's budget and expenditure information within KXR's Discord server. All rights not expressly granted are reserved by KXR.

3. Authorized Use

The Bot is intended solely for authorized members of KXR. You agree to use the Bot only for legitimate purposes related to KXR's activities. You agree not to:

Attempt to access data or functionality you are not authorized to access;
Interfere with, disrupt, or attempt to compromise the Bot or its underlying systems;
Use the Bot in any manner that violates applicable law or KXR policy; or
Externally distribute, publish, or misuse KXR's financial information obtained through the Bot.

Access to the Bot and the information it displays is limited to KXR Executive Board members, Managers, and Chief Engineers. Leads, general members, and all other individuals are not authorized to use the Bot or to view the information it provides. Authorization may be granted or revoked by KXR at any time

4. Ownership of Data

The financial and budget information displayed by the Bot is the property of KXR. Access to this information through the Bot does not grant you any ownership rights in it, and it should be treated as internal organizational information.

5. Disclaimer of Warranties

THE BOT IS PROVIDED "AS IS" AND "AS AVAILABLE," WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED. KXR DOES NOT WARRANT THAT THE BOT WILL BE UNINTERRUPTED, ERROR-FREE, OR THAT THE INFORMATION DISPLAYED WILL BE ACCURATE, COMPLETE, OR CURRENT. Budget figures displayed by the Bot are for convenience only and should be verified against KXR's official QuickBooks records before being relied upon for any decision.

6. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, KXR AND ITS OFFICERS, MEMBERS, AND VOLUNTEERS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR OTHER DAMAGES, OR FOR ANY DECISIONS MADE OR ACTIONS TAKEN IN RELIANCE ON INFORMATION PROVIDED BY THE BOT, INCLUDING ERRORS IN OR UNAVAILABILITY OF THE BOT.

7. Termination

KXR may suspend, revoke, or terminate access to the Bot at any time, with or without notice, including by discontinuing the Bot entirely. Upon termination, the license granted under this Agreement ends.

8. Changes to This Agreement

KXR may update this Agreement from time to time. Changes will be posted at this URL with an updated "Last Updated" date. Continued use of the Bot after changes are posted constitutes acceptance of the revised Agreement.

9. Governing Law

This Agreement is governed by the laws of the State of Florida, without regard to its conflict-of-law principles.
